Booking uploaded payments

When the STATUS column for an uploaded payments file displays a green check, all the payments in the file have complete information and you can book the payments.

Note: If there are any issues in the uploaded file that can be fixed in the Upload Center, the Status column for that file displays a Wrench icon wrench to indicate that there are issues that need to be fixed. When that is the case, you can book the issue-free payments, but any payments with issues will not be processed until you fix those issues. File Upload statuses

To book uploaded payments

  1. On Your Dashboard, under ACTION ITEMS, click Payment file(s) awaiting booking.
    The Upload Center page opens. All the files that are ready to be booked are displayed.
  2. Locate the file that you want to book.
  3. Click the file name or the icon in the STATUS column to view details about the payments.
    For ERP files, you can also click the check in the left-most column, or choose Review Payments from the dropdown list.

    Note: If you upload a file that contains a Value Date for each payment, when you upload the file using the appropriate template, you will see an additional field called Estimated Delivery Date. If you would like to learn more about this feature, please contact your account representative.

  4. The REMITTERS tab will appear in the Upload Summary table if the uploaded file contains Remitters information.
    Optionally, in the Upload Summary section, click a beneficiary name to view a slideout that displays the beneficiary's details.

    Note: If the beneficiary data includes an email address, the Send Pay Tracker feature is automatically enabled for that beneficiary. When a payment to that beneficiary is released, a notification is sent to the specified address.

    If there are any payments in the file that you do not want to book, you can withdraw the payments from booking. For more information, see Withdrawing payments from booking.
  5. Click GET RATE to get a live quote.
    The conversion rates and the resulting payment and settlement amounts are displayed. The RATE EXPIRY timer indicates the amount of time you have to book the deal at the displayed rate.

  6. Click BOOK NOW.
    A confirmation message appears to let you know that the order was created successfully.

  7. Optionally, click View Receipt to view the Order Receipt.
    Note: On the receipt, payments that are for the same beneficiary and in the same currency are aggregated and displayed as a single line item.

    In the Upload Center grid, the status for the file is now Booked.

    Note: If you book an uploaded file that has fixable issues, the payments with issues are not booked. When that is the case, the status of the file is a wrench with the word Booked beside it.

    The payment files that have fixable issues will not be processed until you fix the issues.

Note: If the total value of the payments in the file exceeds your personal trade limits or your organization's trade limits (per transaction and cumulative daily total), you will not be able to book the payments. When you click BOOK NOW, you will see a message at the top of the page letting you know that the amount is over the transaction limit. If that happens, you can either make changes to the original file to reduce the total value of the payments, and then upload it again, or contact the Enterprise Support team for help.
